About this role

Role summary / purpose This position is responsible for filing Enterprise Transmission Major Equipment documentation (drawings, test reports, instruction books, parts lists, and photos) in a data management system. When filing this documentation, metadata must be extracted and placed in the database so that documentation can be easily found in the future when needed for troubleshooting or replacement. This position can be located anywhere within the service territory. Key responsibilities • Uploading information into a document management system including equipment drawings, test reports, instruction manuals, photos, etc. • Retrieving and uploading metadata (manufacturer, equipment type, serial number, item number, purchase order number, drawing type, drawing numbers, page, revision numbers, etc.) from equipment documentation into the document management system to ensure documents are searchable and retrievable • Routing, tracking and coordinating equipment design reviews (drawings) with design engineering, asset management, and manufacturers • Reviewing technical work produced by self and others to ensure accuracy and completeness • Supporting the on-time filing of engineering documentation for Transmission Major equipment into the document management system • Providing support to designers and engineers as needed • Exhibiting good judgment, setting work-related priorities and making effective business decisions • Facilitating communication with internal and external customers to complete technical tasks • Maintaining and updating technical documentation in accordance with established work procedures • Performing technical data requests (compiling, organizing, uploading data in databases and programs) • Utilizing and maintaining software systems and hardware (printers, plotters, scanners, etc.) as necessary for job-specific responsibilities • Developing and/or reviewing selected correspondence, reports, schedules, and/or technical documentation • Making appropriate modifications and recommendations as necessary • Performing routine and detail-oriented tasks in a fast-paced, results-driven environment • Appropriately selecting and utilizing the most effective tools, methods and technologies to complete assignments • Striving to continually improve job-related, technical and professional knowledge, skills and performance • Developing positive working relationships to effectively coordinate work activities • Demonstrating effective oral and written communication skills and maintaining accurate records and files • Supporting company goals and representing the company positively and professionally Requirements – education & experience • Ability to work a full work week (5 days) in the office for an extended period of time Required skills • Proactively seeking process improvements within area of responsibility • High level of urgency with regard to meeting scheduled deadlines • Ability to work with limited management supervision • Thorough, detail-oriented approach with desire for data accuracy • Basic computer skills including File Explorer, Word, and Adobe Pro • Microsoft Outlook proficiency • Experience with Microsoft Excel or similar software • Experience with SFTP (secure file transfer protocol) • Experience with SharePoint sites (internal and external) Nice-to-have / preferred skills • Basic understanding of various types of engineering documents including drawings, instruction books, and technical re…
