Role summary / purpose Provides administrative support to a department or group of professionals. This position supports a corporate learning center and is responsible for coordinating and administering the day-to-day logistics associated with instructor-led training and other learning activities. The Administrative Technician partners with facilitators, employees, internal departments, and vendors to help ensure training programs are scheduled, prepared, delivered, and recorded effectively. Key responsibilities • Coordinate end-to-end logistics for instructor-led training classes and learning events • Partner with facilitators to establish class schedules and coordinate training requirements • Reserve classrooms and manage classroom schedules • Coordinate classroom setup, including submitting facilities tickets and ensuring rooms are prepared for training • Perform Learning Management System (LMS) administration for classroom training, including scheduling classes, managing rosters, recording training completions, processing chargebacks, and resolving employee LMS account issues • Monitor and respond to requests received through shared mailboxes • Manage and maintain training calendars • Order and maintain classroom, training, and office supplies • Coordinate with other departments and external vendors to resolve scheduling, logistical, facilities, and administrative issues • Audit and process invoices in accordance with established accounts payable procedures • Interact professionally with employees and leaders at all levels of the organization • Maintain accurate training, scheduling, and administrative records • Support special projects and learning initiatives as requested • Perform other job-related duties as assigned Requirements – education & experience • High school diploma or GED • Five or more years of relevant administrative, operations, training coordination, or related experience Required skills • Strong organizational and time-management skills with the ability to manage multiple priorities • Strong attention to detail and commitment to accurate recordkeeping • Strong written and verbal communication skills • Demonstrated customer service and problem-solving skills • Ability to work independently while collaborating effectively with facilitators, employees, vendors, and internal business partners • Customer Focus • Planning and Organization • Communication • Problem Solving • Collaboration • Accountability • Adaptability Nice-to-have / preferred skills • Experience coordinating instructor-led training, meetings, events, or similar activities • Experience administering a Learning Management System (LMS), preferably SAP SuccessFactors • Experience managing shared mailboxes, calendars, room reservations, and scheduling • Proficiency with Microsoft Office applications, including Outlook, Teams, Excel, and PowerPoint • Experience processing invoices, purchase orders, or chargebacks
